Under the supervision of the Managing Director of Hatfield Consultants Africa (Mr. Simon Hughes), the Office Administrator will be responsible for assisting with all aspects of office management for HCA in Botswana and other countries of the SADC region.

Responsible for day-to-day office management, including but not limited to:
Administration (reception, office supplies, project contracts, insurance, inventory, etc.);
Accounting (working with external accountant, head office, petty cash, expense reports, banking, invoicing, project budget tracking, payroll, etc.);
Liaison with relevant Government of Botswana agencies (e.g., taxation, labour, foreign affairs, etc.).
Liaison with project managers to solve day-to-day project logistics issues.
Marketing and business development (assist with proposal and report production, compilation, and binding, etc.)
Communicate with staff from other Hatfield offices, as needed related to HCA projects, marketing, administration or accounting issues.
Participate in technical work and assist with implementation of projects (including logistical arrangements associated with workshops and seminars

Skills, Knowledge, and Abilities
Adequate knowledge and experience in intermediate level Microsoft Word, Excel, etc.
Practical experience using Quickbooks or other accounting software;
Attention to detail and the ability to handle a large volume of work with accuracy in a fast paced company.
Self-starter and team player.
Strong organisation and problem solving skills.
Skills in verbal and written English and Setswana.

Minimum Qualifications
Degree in administration, marketing, public relations, or environmental or social sciences.
Two years accounting related experience will be preferred.

Marketing and Business Development:
Contribute as needed to proposals and expressions of interest prepared for Hatfield Africa;
Regularly search for business opportunities and support the company in securing new projects and activities; and,
Develop and strengthen contacts with Government of Botswana agencies and local NGOs, ICPs and potential partners.

Administration, ISO9001, Health and Safety, Human Resources:
Conduct all company activities with the highest possible standard of occupational health and safety. This includes ensuring compliance with Hatfield’s Health and Safety Management Plan, Botswana law, and client health and safety protocols; and,
Comply at all times with the Hatfield Quality Management Plan and related Hatfield policies and procedures.

Annual average chargeability targets:
Administration, accounting, ISI9001, health and safety, human resources: 80%
Marketing, business development time: 10%
Annual project chargeability: 10%
