The Directorate of Public Service Management (DPSM) invites applications from highly motivated and well experienced citizens of Botswana to fill the vacant post ofSenior Personal Secretary, which exists at Botswana Public Service College (BPSC).
LEAVE: 30 working days per annum
BENEFITS:

QUALIFICATIONS:
A national Diploma in Secretarial Studies or a Higher National Diploma in Secretarial Studies
EXPERIENCE:
At least 4 years’ relevant experience, two of which must have been served as a Typing Pool Supervisor/Personal Secretary at C2 salary scale in Government or equivalent/comparative level in Parastatal or Private Organization.
MAIN PURPOSE OF THE JOB:
To provide secretarial services and manage the office of the supervisor.
KEY PERFORMANCE AREAS:
• Type correspondences and produce copies from original scripts.
• Provide typing duties to a group of middle management officers on various assignment.
• Make appointments for people requesting an audience with the supervisor, ensuring that the appointments do not coincide.
• Remind the supervisor of the scheduled meetings and make available relevant files/documents before the meeting.
• Make travel arrangements by booking flights and/or hotel accommodation, having imprest applied for or retired for the supervisor.
• Intercept telephone calls to supervisor and identifies caller and purpose of call.
• Set up and maintain filling and information for the office system.
• Photocopy, scan, Fax and bind documents.
• Take and transcribe shorthand dictation.
• Keep up to date with public service procedures and practice regarding the use of abbreviation and addressing of official correspondences.
• Undertake any other related duties as may be assigned by management.
