Deloitte is looking for a Consulting Team - ProjectAdministrator/Assistant to fill the vacant post in their Botswana Office.

About the job
Responsible for day-to-day general and financial administration in the Consulting, Advisory and Implementation team, as well as to assist Project Managers with project administration on various projects as and when required.
Key Performance Areas
  • Change Management - Co-ordination between PM’s and other teams in terms of scheduling of Project Team movements and details.Filing of all project and financial documentation both hardcopies and electronically as appropriate. Timely feedback on work-in- progress. Project Pre-initiation,
  • List divisional and projects cost and budget systems - Capture Budgets and Forecasts start and end dates onto cost and budget system. Create ITAB reports (list of all approved projects) for current year,
  • Project Initiation - Design and build necessary document filing infrastructure. Verify that Project Code will be used for documentation. Ensure relevant staff have access to filing site for life of Project. Distribute templates as appropriate and ensure they are used,
  • Communications - Follow up with PM’s to ensure all Project communications are timeous and complete. Understanding of communications strategy for each project.Answer phone, take messages and co-ordinate action for divisional activities and projects. Book and co-ordinate rooms, equipment, accommodation, transport, refreshments, etc. ,
  • Project Financial Administration - Assist with timely reporting of: Actual vs. Budget variances > 10%, Project Charter Forecasts vs. Budget. Assist with the timely Project and Divisional Financial Reporting. Full Project Financial Monitoring for the life of the project. Follow up PMO Staff in respect of review of budget forecasts and completion of timesheets, LILO forms and Expense claims. Verify budget forecast amendments are captured to Cost and Budget System. Obtain authorization in respect of budget and budget forecasts. Understanding of Cost and Budget system,
  • Project Office Standards and Procedures - Ensure all necessary planning is carried out in respect of new staff in Projects office. Ensure project related templates, standards and procedures available in central location are updated, and
  • Project Closure - Ensure all necessary documentation is obtained from PM’s and filed appropriately at Project Closure.Verify all costs for closed projects are timeously billed and projects closed on cost and budget system.

About you
Candidates must hold a relevant diploma or Bachelor’s degree with minimum 2to 4 years of general or project administration experience with financial exposure and a Project Management diploma or studying towards a Project Management or Administration diploma. We require the following skills and competencies:
  • Skills in financial management/accounting,
  • Sound understanding of Word, Excel, Power Point, Visio, and MS Project,
  • Good business acumen in a services organization,
  • Hands on experience of a PMBOK based Project Management methodology
  • Applications - A detailed working knowledge of the PMO Requests for services application and a working knowledge of the SAP or similar system,
  • Be able to work under pressure,
  • Attention to detail to ensure accuracy,
  • Problem resolution,
  • Work independently and in a team,
  • Ability to travel,
  • An understanding of a project management methodology, and
  • A sound understanding of project office administration.
