VACANCY: PRIVATE SECRETARY TO MINISTER/ASSISTANT MINISTER – (D1)

SALARY SCALE: D1 (266 460 – 294 180 per annum)

QUALIFICATIONS:
Degree in Political Science and Administration, Economics and Sociology or related field.
EXPERIENCE:
At least twelve years relevant post qualification experience in Public Service, Parastatal or Private Sector with administrative, economic, political and public relations responsibilities; two of which should have been at management level.
MAIN PURPOSE OF THE JOB:
Manage and coordinate the programme of work of the Minister/Assistant Minister to ensure that he/she is provided with an efficient, timely and smooth delivery of service and that his/her briefing notes are of good quality, and that speeches are researched and written in a manner that reflects their status, dignity and good image.
DUTIES:
-Manages the diary of Minister/Assistant Minister in a manner that meetings with the Minister/Assistant Minister are held on schedule and provides services as required.
-Arranges for and ensures that briefs are submitted in time and brought before the Minister/Assistant Minister in advance of meetings and briefs. Ensure that the relevant Permanent Secretary and service officials are informed about meetings/briefings in time.
- Processes and verifies requests for media interviews from various radio/television stations and organizations/news agencies, briefs the Minister/Assistant Minister on such requests and tenders appropriate recommendations. Undertakes the necessary arrangements to ensure that the relevant officials of the Department of Information and Broadcasting attend and record interviews.
- Initiates budgetary requirements for the Minister/Assistant Minister office.
-Receives correspondence addressed to the Minister/Assistant Minister.
-Undertakes any other related duties as shall be assigned by management.
