ADMINISTRATIVE ASSISTANT
Job Description
Coordinate time frames, production and administration projects within specified departments.
Respond to enquiries and provide information according to department procedure and direct the customers to the appropriate departments
Schedule appointments and meetings with company management and customers as directed
Manage the office and supervise other staff members.
To perform accounting duties such as calculating billing statements, compiling financial records and managing inventory records.
Prepare payment applications for chargeable works and raise sales invoices accordingly
Management of Sales ledger and ensure payments are received on time
To be pro-active with all purchasing to ensure costs are accrued in the correct month
Timely processing of invoices and the completion of the ‘invoice control sheet’ monitoring the status of invoices
Control of the petty cash float
To monitor the sales ledger on a daily basis and report to the progress
Required Skills and Qualifications
A minimum of 5 years administrative experience in an auto body shop environment would be an added advantage.
A Minimum qualification of AAT, Degree in Accounts or Business administration.
Attention to details, along with excellent organisational, verbal and written communication skills
Exceptional customer service and problem solving skills
Ability to multi task, work under pressure with changing priorities and short deadlines
Excellent computer skills
Ability to think ahead, plan work and meet deadlines
Accuracy and attention to detail
Flexibility to work extra hours
