The SADC Secretariat invites suitably qualified, experienced, innovative, result oriented and self-driven individuals who are citizens of Botswana to apply for the following positions under the HIV/AIDS Unit tenable at SADC Secretariat Headquarters.
Position Senior Secretary
Main purpose of the job: To provide administration and logistical support to the HIV/AIDS Unit.
Key result areas:
- Providing overall secretarial support to the HIV/AIDS Unit
- Organising project meetings, workshops and other events
- Servicing meetings
- Procures office supplies, travel and courier services
- Organises and maintain an adequate project filing system
- Maintain an up-to-date inventory of project assets
Qualifications:
Diploma in Secretarial Service, Office Administration.
Position: Assistant Finance Officer
Main purpose of the job: To prepare payments, monitor, control the Project’s finance and accounts. Prepare the Justification Reports for funds advanced to the Sub Recipients. Prepare lead reconciliations, Staff Payroll and VAT returns. Support the logistics for meetings and workshops.
Key result areas:
- Prepares, process payments and receipts
- Prepares justification reports in line with applicable rules and procedures
- Drafting reports/claims to donors
- Preparation and processing of the Project payroll
- Prepares lead reconciliations such as bank reconciliations, Fund reconciliations Creditors/Debtors Reconciliations.
- Maintenance of fixed assets Register
- Attends, services workshops and prepares expenditure reports
- Attends to internal and external audits
- Maintenance of debtors and creditors ledgers
- Preparation of VAT quarterly returns for refund from Government
- Assists in preparation of periodic and annual accounts
Qualifications:
First Degree in Degree in Accounting or AAT or equivalent
Experience:
At least three (4) years relevant experience in Finance, experience in donor funded programmes will be an added advantage.
Competencies:
- Experience in usage of Accounting software packages (Accpac, Sun Systems, MS Word, Excel, PowerPoint etc) and advance knowledge of spread sheet and database packages, experience in handling of web based management systems
- Fluency in English required, additional fluency in French and Portuguese desirable
Duration of the Contract: up to 30th June 2017
Remuneration: US $31, 134 per annum
