The Accounting Associate is responsible for initial review and preparation of accounting transactions and related supporting documents of financial transactions in Accounts Payable, Accounts Receivable and Payroll processing, data entry of approved documentation, and filing of completed transactions. The Accounting Associate works under the supervision of the Senior Financial Analyst. The Accounting Associate embodies MSH’s values, and is aware of and adheres to MSH procurement integrity and institutional standards and procedures in all project management responsibilities.
Specific Responsibilities
Accounting
Project Management
- Gather and collate documentation such as invoices, shipping receipts and procurement documents and prepare a payment voucher, for further review and approval.
- Ensure that all invoices agree with supporting documentation, including price quotes, purchase orders and shipping receipts, as per MSH procedures for procurement before payment.
- Apply internal systems for obtaining purchase approvals and use of assets ensuring the adequate application of internal controls, as per MSH procedures for donor approvals.
- Research problems, such as missing documentation, vendor, staff or client queries.
- Assist with entering approved transactions into accounting system.
- Prepare EFT vouchers for review, signature and distribution.
- Manage the advances and carry out payments for field activities (Per diems, and other activity arrangements), and provide timely expense reports according to MSH rules.
- Manage the petty cash system and expenses according to MSH procedures and clear them in the QuickBooks system.
- Assist with periodic and spontaneous inventory of all MSH and Project Assets.
- Maintain all files of the finance department, the Logistics Manager and the COMU Directors office.
- Maintain communication with the Senior Financial Analyst and COMU Director to seek guidance on financial and contractual issues.
- Perform other duties as assigned.

Qualifications
- Bachelor's Degree / Higher National Diploma (HND) or any other recognized Equivalent certificate in Accounting.
- At least 1-3 years’ experience in an independent administrative and accounting position with advanced bookkeeping responsibilities.
- Ability to meet deadlines and complete tasks with attention to detail and quality.
- Experience in working with USAID funded projects required.
- Work experience with projects supported by international organizations.
- English proficiency a plus.
- Demonstrated computer skills in spreadsheet applications, Microsoft Office preferred. Ability to learn new software such as accounting packages.
- Proficiency in QuickBooks or similar accounting software package preferred.
