Position Details:
Responsibilities for this position may include but are not limited to:
Provides comprehensive secretarial and administrative support to the Refinery Operations team:
- Provides information processing services which include complex Microsoft Office skills
- Provides telephone coverage and meets guests
- Makes travel arrangements and schedules
- Prepares slide decks for meetings, classes, conferences, etc. for the team
- Assists team with Travel and Expense Accounting (TEA) claims, TEA-related queries and cash advances
- Oversees management of office stationery supplies and office equipment, e.g., photocopier, fax
Is responsible for the leave administration of the Operations team
Administers the following:
- Overtime and travel claims for the Operations and oil movements team according to the 5 shift system rules
- Submits monthly journal and accrual entries to the Finance Department
- Prepares the Budget of the Operations Department
- Creates purchase orders, service orders and blanket orders in ARIBA - Utilize the ARIBA/e-Procurement system to create, track and pay vendors for services and materials
Prepares monthly performance statistics for Operations department and supports the development of performance tracking metrics and KPI's. Produces ad hoc statistics and information as required
Works with the Operation Supervisors in the distribution of the correct Personal Protective Equipment (PPE) for new recruits, in-service trainees and employees. Arranges facility access badges, PC access, Telephone Pin, etc. access for all new recruits
Manages the department's website, coordinates the populating and updating of the website. Supports Operations team in ensuring Controlled Document Management System (CDMS) documentation is updated
Required Qualifications:
Diploma/Certificate in Admin or equivalent
2-7 years relevant admin experience
Proficiency in MS Office applications
Strong Planning and Organizing skills
Good interpersonal skills and is able to work with people from different background and culture
Learning adaptability
Preferred Qualifications:
SAP experience
ARIBA experience
