Duties and Resposibilities
1. Receive orders from departments, sources supplies and obtains quotes in accordance with procedures.
2. Negotiates prices in accordance with delegated limits and places orders following authorisation.
3. Receives orders for stock and non-stock items ordered by various departments and processes receipt vouchers, invoices, delivery notes etc in readiness for payment; raises queries on discrepant deliveries and undertakes necessary follow ups.
4. Checks all receipt documents and matches invoices with orders; liaises with accounts section on the payment of suppliers and answers queries on receipts.
5. Checks all items received for quality and specification to ensure goods received are in accordance with user requirements.
6. Carries out physical stocktaking during annual stocktaking and assists in investigation of discrepancies.
7. Inputs receipts data into computerised system and batches and reconciles transactions; maintains accurate filling system of documentation.
8. Reconciles suppliers documentation with purchase orders and processes for payments; resolve suppliers queries.
9. Issues all stock items to users in accordance with requisition and enters issues into system.
10. Checks all requisitions to ensure correctness of codes, quantity, specification, and authorities; maintains files in respect of all requisitions.
11. Records and reports all stock outs and initiates re-ordering of such items.
12. Maintains inventory control process and systems and ensures that all receipts and issues have been entered into system.
13. Monitors utilisation and initiates re-ordering in accordance with pre-determined inventory level.
14. Maintain union asset register and manages all insurance of union assets.
Qualifications and Requirements
- Advanced Diploma in Procurement & Supplies or Supplies Management Procedures
- At least three (3) years' experience in all aspects of supplies management.
